Reports to: Executive Manager, Administration & Corporate Development
Status: Part-time (four days per week)

Primary Function

Take primary responsibility for the efficient functioning of the Broadford office – in terms of admin support functions, office services, the maintenance and care of property and assets and other matters.

Key Duties

  • Take primary responsibility for attending to / organising the following:
    • Office supplies/furniture
    • Staff amenities
    • Office cleaning
    • IT issues
    • Building repair and maintenance needs
    • Office security
    • Telephone system
    • Office reception
  • Undertake reception functions (answer phones, maintain the reception space etc)
  • Provide administrative support to the EM, Administration and to other Broadford-based staff, as required
  • Take responsibility for organising cultural ceremonies
  • Assist with organising meetings (organise catering, prepare the Boardroom and cleanup etc)
  • Other support tasks as necessary

  • Experience in office management functions
  • Proficiency in the Microsoft Office suite
  • Strong organising and administrative skills
  • Attention to detail and high level of accuracy
  • A strong work ethic

Key Performance Indicators

  1. Reception and the Office Environment
    1. During opening hours the Reception functions (telephone etc) are efficient and reliable
    2. Reception and the entire office environment (especially the Board room) is properly equipped, tidy and efficient 

  2. Clerical & Administrative
    1. Email enquiries and phone messages are responded to promptly
    2. Meeting preparations are timely and thorough
    3. Administrative support functions are carried out in a professional manner
    4. Information management systems are well maintained
  3. Office Furniture and Equipment (including computers, laptops etc)  
    1. The assets register is kept fully up-to-date, with all assets recorded 
    2. Maintenance schedules are maintained
    3. Equipment breakdowns, including IT issues, are addressed promptly
  1. Meeting assistance
    1. Catering is organised in advance and the meeting room is properly prepared and equipped
